EVENT ORGANIZER GUIDE

Tips for a Successful On-Site Merchandise Event

A successful merchandise program is a partnership. Impress Athletix plans the products and production; organizers help us understand the audience, promote the opportunity, and make the booth easy to find.

PLAN TOGETHER

Six Ways Organizers Can Help Create a Stronger Event

These steps help build awareness, improve customer flow, and give attendees more opportunities to discover and purchase official event merchandise.

  1. Reserve Your Date Early

Event dates, setup requirements, merchandise plans, and printing hours must be confirmed in advance. Popular weekends can book several months ahead, so contact Impress Athletix as soon as your event date is known.

Important: Submitting an inquiry does not guarantee availability. Your date is confirmed after the event details and service agreement are approved.

  2. Recommend Merchandise That’s Popular with Your Audience

Share what your athletes, families, students, spectators, or attendees are most likely to purchase. Helpful information includes popular colors and apparel styles, previous merchandise sales, expected attendance, and typical price preferences.

Impress Athletix will use that insight to recommend an event-appropriate assortment. Final selections must also account for production requirements, event conditions, lead time, and whether each product or decoration method is suitable for on-site production.

  3. Choose a High-Traffic Location

Place the merchandise booth along a natural attendee traffic path, such as near the main entrance, competition area, concessions, awards area, or another frequently visited location.

    • Provide space for a minimum 10′ × 15′ setup, unless otherwise approved.
    • Allow room for displays, equipment, browsing, checkout, and an organized line.
    • Keep entrances, exits, walkways, and event operations unobstructed.
  4. Promote the Merchandise Before the Event

Begin promotion as soon as the collection or pre-event store becomes available. Schedule several reminders instead of relying on a single announcement.

    • Share the store link by email, social media, the event website, registration materials, and team communications.
    • Post product previews, design reveals, countdowns, and behind-the-scenes content.
    • Highlight event exclusives, limited quantities, personalization options, and ordering deadlines.
    • Use polls or design previews to invite audience participation.
    • Tell attendees where the on-site booth will be located.
  5. Make Frequent Announcements During the Event

Attendees may not notice the booth when they first arrive. Make announcements during natural breaks, transitions, intermissions, award preparation, or other appropriate moments, and include the booth location every time.

“Commemorate today’s event with official [Event Name] apparel. Visit the Impress Athletix merchandise booth located [specific location] to shop event designs and available on-site personalization.”
  6. Share Live Merchandise Content

Ask an organizer, volunteer, photographer, or social media representative to stop by the booth and post current photos or short videos during the event.

    • Show featured merchandise and personalization in progress.
    • Post attendees wearing their purchases, with permission.
    • Share booth-location reminders and limited-stock updates.
    • Tag Impress Athletix and encourage attendees to share their purchases when appropriate.
